Unit Flow Technologies LLC ("UnitFlowPlatform," "we," "us," or "our") provides a property management platform, including a web application and mobile application (collectively, the "Service"), that connects property managers, landlords, tenants, and staff. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
By using UnitFlowPlatform, you agree to the collection and use of information as described in this policy.
01 Information We Collect
Information You Provide Directly
- Account information: name, email address, phone number, password, and role (e.g., property manager, tenant, staff member)
- Property and unit information: property addresses, unit details, lease terms
- Tenant and lease documents: lease agreements, applications, move-in/move-out checklists, and other documents you upload
- Maintenance requests: descriptions, photos, and status updates related to maintenance issues
- Messages: communications sent between property managers, staff, and tenants through the Service
- Payment-related information: billing name, address, and transaction details needed to process rent payments and subscription fees (see Section 3 regarding Stripe)
Information Collected Automatically
- Device and usage information: IP address, device type, operating system, app version, and general usage patterns (e.g., pages/screens visited, features used)
- Log data: timestamps, error reports, and diagnostic information used to maintain and improve the Service
We do not knowingly collect precise geolocation data.
02 How We Use Your Information
We use the information we collect to:
- Create and manage accounts and user roles
- Process rent payments, subscription billing, and related transactions
- Facilitate communication between property managers, staff, and tenants
- Manage maintenance requests and property/lease records
- Send account, billing, and service-related notifications
- Maintain the security, integrity, and reliability of the Service
- Comply with legal obligations
- Improve and develop new features
We do not sell your personal information.
04 Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect your information from unauthorized access, disclosure, alteration, or destruction. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
05 Data Retention
We retain personal information for as long as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Property managers may request deletion of their organization's data, subject to legal and operational requirements (e.g., financial recordkeeping obligations related to lease and payment history).
06 Your Rights and Choices
Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information, subject to legal retention requirements
- Opt out of non-essential communications
To exercise these rights, contact us using the information in Section 10. If you are a tenant, some requests (such as data correction tied to your lease) may need to be routed through your property manager, since they are the primary account holder for your unit.
California residents: You may have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected and the right to request deletion, as described above.
07 Children's Privacy
The Service is not directed to individuals under the age of 18, and we do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child without parental consent, we will take steps to delete that information.
08 Third-Party Links
The Service may contain links to third-party websites or services (such as Stripe's own portals). We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy policies separately.
09 Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify users through the Service or by other reasonable means. The "Effective Date" at the top of this policy indicates when it was last revised.
